“The system is very easy and intuitive to use. The biggest advantage for us is the traceability: we can know at any time who took a key and when”

Julie Andry
Account Manager
Laurenty is a Belgian company specialized in professional cleaning services. Through its various departments, the company provides a wide range of services, including window cleaning, industrial cleaning, factory maintenance during shutdown periods, and specialized cleaning projects.

Oumayma Abid is a Marketing Specialist at Keycafe, leading the French market with a focus on short-term rentals and vehicle fleets. She specializes in how hosts, property managers, and fleet operators use key management to streamline guest check-ins, turnovers, and vehicle access workflows.
Before implementing Keycafe, Laurenty was already using a different key management system. According to Account Manager Julie Andry, the system provided a basic level of organization, but it fell short when it came to usability and reliability: “We were using a system called Traka. However, it was far less intuitive and much harder to use—especially for the company’s workers. Overall, it felt quite outdated.” The access process was based on codes that did not always work reliably, creating frustration and slowing down key retrieval. Additionally, the system did not provide the level of control Laurenty needed, as users could access all available keys rather than only the ones assigned to them. With a fleet of approximately 20 company vehicles, Laurenty needed a solution that would provide better traceability and accountability. The company needed to know which employee had taken each vehicle key every day and ensure that keys were managed securely throughout daily operations.

Laurenty implemented Keycafe’s SmartBox key management system to centralize and secure access to its vehicle and facility keys. Every day, the cleaning team uses the SmartBox to collect the keys assigned to them before starting their jobs and return them once their work is completed. The system has become an essential part of Laurenty’s daily workflow. Through the Keycafe platform, Laurenty can easily monitor key movements and access history, ensuring complete visibility over who took each key and when.
“It is a very easy and intuitive system. With the badge system, returning a key is very quick, and the software managing the box is also very simple to use.”

The adoption of Keycafe brought immediate improvements to Laurenty’s daily operations, particularly in terms of efficiency, visibility, and accountability. Workers can now quickly collect and return their assigned keys every day through a simple and reliable process, reducing delays and making key exchanges smoother. At the same time, managers benefit from complete traceability, with the ability to see who accessed each key and when. This increased visibility has strengthened accountability among teams and improved control over vehicle and facility access. Beyond vehicle keys, Laurenty also uses Keycafe to manage keys for secured locations and equipment, making it a versatile solution for different operational needs. With an intuitive system that is easy to use and expand, Keycafe has helped Laurenty replace an outdated process with a more efficient, secure, and scalable approach to key management.
