Challenge

Before implementing Keycafe, Transports PECH relied on a traditional key-on-hooks board system with manual tracking and a driver punch-in process. While initially functional, this system became increasingly difficult to maintain and manage over time, especially as both the number of vehicles and drivers grew.

One of the main challenges was ensuring that drivers respected their vehicle assignments. In practice, drivers—whether intentionally or not—did not always follow assignment rules, leading to operational inconsistencies and inefficiencies.

Transports PECH installed Keycafe’s SmartBox key management system to digitize and centralize its fleet of vehicle keys. Keys for trucks and heavy vehicles are securely stored in the SmartBox, each attached to a unique fob. The system allows the company to assign access rights based on drivers, vehicle groups, or specific operational needs.

For temporary drivers, the team can generate one-time access codes for specific vehicles, enabling fast and secure vehicle allocation without disrupting existing workflows.

Additionally, Keycafe allows the team to block specific keys upon return, ensuring that vehicles requiring maintenance cannot be accessed until repairs are completed.
