    Challenge

Before implementing Keycafe, Transports PECH relied on a traditional key-on-hooks board system with manual tracking and a driver punch-in process. While initially functional, this system became increasingly difficult to maintain and manage over time, especially as both the number of vehicles and drivers grew.

One of the main challenges was ensuring that drivers respected their vehicle assignments. In practice, drivers—whether intentionally or not—did not always follow assignment rules, leading to operational inconsistencies and inefficiencies.

Additionally, managing temporary drivers (interim staff) posed a significant logistical challenge. These last-minute replacements required quick and secure vehicle access, which the manual system struggled to support without disrupting organization. Another limitation was the inability to easily immobilize vehicles when maintenance or repairs were required. There was no reliable way to prevent certain vehicle keys from being accessed when they needed to be taken out of circulation.

    Pain Points

    • Lack of Control Over AssignmentsDrivers did not always respect vehicle allocations
    • Inefficient Manual Key Access SystemDifficult to update and manage daily
    • Temporary Driver Access IssuesNo flexible way to assign last-minute vehicle access
    • No Vehicle Blocking MechanismHard to block access to vehicles for maintenance

    Solution

Transports PECH installed Keycafe’s SmartBox key management system to digitize and centralize its fleet of vehicle keys. Keys for trucks and heavy vehicles are securely stored in the SmartBox, each attached to a unique fob. The system allows the company to assign access rights based on drivers, vehicle groups, or specific operational needs.

For temporary drivers, the team can generate one-time access codes for specific vehicles, enabling fast and secure vehicle allocation without disrupting existing workflows.

Additionally, Keycafe allows the team to block specific keys upon return, ensuring that vehicles requiring maintenance cannot be accessed until repairs are completed.

    Transports PECH’s Implementation

    • Flexible Vehicle AssignmentsAssign keys by driver, vehicle, or group
    • One-Time Access CodesSimplified access for temporary drivers
    • Vehicle Access BlockingPrevent access to keys for vehicles requiring maintenance
    • Scalable SystemEasily expandable to additional use cases (rooms, light vehicles)
    • Centralized ManagementFull control via the Keycafe web and mobile app

“We were looking for a digital solution where we could make instant modifications based on our needs. Keycafe provided that flexibility and has become an essential part of our daily workflow.”

    Result

The adoption of Keycafe delivered immediate operational improvements for Transports PECH, particularly in fleet control, driver management, and daily flexibility.

The company regained full control over vehicle assignments, ensuring that drivers only access authorized vehicles. This reduced unauthorized usage and improved alignment between planning and on-the-ground operations—critical for managing regular transport routes. Driver accountability and discipline also increased. With controlled access, internal processes are better respected without requiring constant supervision.

Managing temporary and last-minute drivers became significantly more efficient. Dispatch teams can now generate one-time access codes in seconds, enabling fast and secure vehicle allocation without operational disruption. Maintenance workflows were also improved with the ability to block keys upon return, ensuring vehicles requiring repairs are not mistakenly reassigned.

Overall, Keycafe strengthened operational control while giving Transports PECH the flexibility needed to manage a dynamic transport environment.

    The Outcome

    • Clear Vehicle AssignmentsBetter alignment between planning and execution
    • Increased Driver AccountabilityControlled access reduces misuse
    • Faster Temporary Driver Onboarding Instant, secure key access
    • Improved Maintenance ControlVehicles easily taken out of circulation
