    To prevent unauthorized or accidental handoffs, Keycafe has upgraded this feature with an organization-level security setting called Handshake Field Swaps. When enabled by an admin via the desktop app, the system introduces a mandatory, time-sensitive verification loop:

    • Hand Off the Key: The current keyholder opens the Keycafe app, selects the key being handed over, and taps Field Swap.

    • Select the New Keyholder: The employee enters the name of the colleague receiving the key. Once Confirm Swap is pressed, the Keycafe system automatically sends a unique transfer code to the new keyholder via SMS (or email if SMS delivery fails).

    • Confirm the Transfer (The Handshake): The receiving employee shares their received code with the current keyholder. The current keyholder has exactly two minutes to enter this code into a pop-up box in their app before the transfer expires. Once submitted, responsibility for the key is instantly transferred and logged.

    Note: Organization Admins are exempt from the handshake requirement and can perform manual field swaps for any key instantly without needing a verification code.
