Challenge
As a security consulting agency, USTASC’s services include night patrols using vehicles and accessing client sites. Prior to working with Keycafe, they were having trouble keeping track of which employee operated each vehicle and who had access to various clients’ locations. Their outdated system of simple key boxes and sign out logs was inaccurate, especially after hours when there was guarantee employees would complete the process before taking a key. This was both an operational inefficiency and a security issue that needed to be addressed.
Solution
USTASC decided to implement Keycafe’s key management system because of its ability to accurately track key issuance after-hours, which was important for night patrol shifts. Employees are assigned unique PINs that allow them to access available vehicle keys, and when a key is checked out, the employee ID, vehicle key name, and time of access are logged. There is no way to access a key without going through this process, so all employees must identify themselves with their PIN and management is able to review access logs at any time.
Result
The day after USTASC installed Keycafe’s SmartBox and familiarized themselves with the app, the results were clear. Management now had a reliable way to link employees to vehicles during their shifts, and employees had a convenient, easy-to-use system to access vehicle keys. An additional, unanticipated benefit was the tracking of vehicle damage and cleanliness. Drivers are now kept accountable for the state of their vehicle at the end of a shift, and USTASC has found a method to track which vehicles need to be sanitized for the next use.
