Challenge
At Nicole Competizione’s Ferrari dealership in Yokohama, the keys to vehicles for sale and those undergoing maintenance had long been stored in a lockable key box. However, this key box used a traditional hook system, which was incompatible with Ferrari’s latest smart key fobs that lacked holes for key rings, making everyday operations increasingly inconvenient.
Moreover, records of who accessed which keys were managed manually, posing a security risk. The management team recognized the need to switch to a more advanced and secure key management solution to ensure both operational efficiency and higher security standards.
Pain Points
- Incompatible Key Storage: The existing hook-type key box did not support Ferrari’s new key fobs, making it impossible to store them securely.
- Time-Consuming Key Retrieval: Staff had to spend time locating the correct hook for each vehicle key, resulting in inefficiencies and wasted time.
- Security Concerns: All keys were visible and access logs were managed manually, raising significant security and accountability issues.

Solution
In preparation for the opening of their new Ferrari Pre-Owned Showroom & Service Center - the largest of its kind in Japan - the management team began searching for a new key management system.
“Our key selection criteria were clear: the system had to support detailed access logs and be a locker-type solution that could accommodate Ferrari’s smart keys. Most locker-type solutions are very expensive, and in reality, Keycafe was the only viable option. Keycafe met all of our requirements at a reasonable price point, and the optional outdoor cover further enhanced our security measures,” explains Akinori Sasaki, who led the implementation.
For staff members responsible for moving vehicles, access permissions are set by location and key group, and each staff member is assigned a user badge. By simply scanning the badge at the SmartBox—without the need to enter any codes—staff instantly select and retrieve the authorized keys from the list. This streamlines the key retrieval process, reduces errors, and significantly saves time.
When staff changes occur, administrators can instantly revoke access rights from the Keycafe dashboard, ensuring a high level of security at all times.
Nicole Competizione’s Implementation
- Grouped Key Management: Since staff often need to move multiple vehicles at once, registered staff members are given access to key groups, enabling efficient permissioning.
- User Badge Authentication: Staff simply scan their user badge to retrieve authorized keys, eliminating the need for manual code entry.
- Flexible Access Control: Management can remotely control key access via the Keycafe dashboard. Additionally, on-site staff can be granted location-level management permissions, allowing them to directly operate and manage the SmartBox as needed.

Result
Before installing Keycafe’s SmartBoxes, staff spent significant time and effort searching for the right key among a large number of stored vehicle keys. With Keycafe, they can now simply tap the desired key name on the SmartBox touchscreen and immediately retrieve the correct key, without any confusion. Administrators are immediately notified who has taken a key through the management dashboard. Overall, operational efficiency has dramatically improved.
As a dealership handling luxury vehicles, it is critical that no keys are ever lost. By implementing Keycafe, Nicole Competizione was able to further strengthen its security and ensure complete peace of mind.
The Outcome
- Improved Operational Efficiency: By clearly identifying where keys are at any time and eliminating time wasted searching for keys, smoother day-to-day operations have been achieved.
- Staff Accountability: Real-time records show exactly who took which vehicle key and when it was returned, clarifying user responsibility.
- Strengthened Security: Each key is stored in an individual compartment, and only authorized staff with designated user permissions can access them, ensuring robust security measures are in place.
